Create an Activity Template
Activity templates can be created by adding a new Activity or through the Activity menu. To initiate the Activity template dialog, follow the steps below.
If you are creating a new Activity for one contact, you can use the Activity menu by going to Activity > Customize Activity Templates.
To assign an Activity to multiple contacts, use the Assign function by going to
Edit > Assign > Activities and selecting the Customize button.
Once the Activity Templates dialog is displayed, you can now begin creating your template. There are several actions available to you through this dialog. Let's review the most commonly used:
- Rename or delete an existing template by highlighting it and selecting the appropriate button.
- Edit an existing template by highlighting it and selecting Properties.
- Copy an existing template to create a new one by highlighting it and clicking Copy. The properties in the existing template will be preserved.
To create a new template:
- Click Add.
- Name the template and click OK.
- Select the fields for your template.
- Note: When a field is checked, it will appear on the display for the template; all fields will appear when editing an Activity
- Click the Defaults tab to enter the default settings for the template.
A few things to keep in mind when establishing your default settings:
- You can choose a default value even for fields not selected on the Fields tab. These values will be part of the Activity record, but will not appear when first entering the record.
- Checking the date boxes will assign the current date only.
- If you choose to set a Reminder, this will automatically set the date for 24 hours from the time of entry. This can be modified when the Activity is recorded.
Once you've finished making updates to the template, click Cancel to exit without saving changes or OK to save changes to the template.
About the Subject
ContactEase enters the name of the Activity template as the Subject by default. Obviously this can get a little confusing which is why we recommend that you select a subject from the current list or create a new one.
