Outlook Synchronization

One of the many benefits of ContactEase is its seamless integration with Microsoft Outlook. Outlook synchronization allows your firm's professionals to contribute contacts to ContactEase and share them with your firm's users through their Outlook folders.

Why is this important? Let's say three of your firm's professionals know Susan Jones. Instead of three discrete contact records, there is a single record in ContactEase linked to each user's Outlook contacts. These users will benefit from any changes made to Susan's record and can easily see that she is known by others in the firm and any mailing lists she may be on or other categories to which she is assigned.  If Susan moves to a new company and her contact record is updated, that change (and any others) will be pushed out to all users who know her. 

During the implementation process, your firm will determine which fields from Outlook will be shared with ContactEase. This process, also known as mapping, allows users to share contact information while keeping some of it private. Mapping is done at the system level meaning that the same fields are shared firmwide. 

Your ContactEase Project Manager will work with your internal implementation team to help you determine which fields to map. 

Following the initial synchronization, some contacts may need to be reconciled. This is perfectly normal. Users with shared (same) contacts may have different phone numbers or even job titles for the same contact. During implementation, your ContactEase Project Manager will provide best practices on how to locate these records and ensure your users have the most current information.
